Privacy Policy

Hope With YouMom is a program of YouMom, Inc. (“HWYM,” “we,” “us,” or “our”), a faith-based 501(c)(3) nonprofit organization located at 2823 N Australian Ave, West Palm Beach, FL 33407. We respect your privacy. This Privacy Policy explains what information we collect through our website at hopewithyoumom.org (the “Site”), how we use it, when we share it, and the choices you have.

Please read this policy together with our Terms of Service. If you enroll in one of our programs, the information you provide during intake is also governed by the specific consent forms you sign at that time, which control if there is any conflict with this policy.

1. Who this policy covers

This policy applies to visitors to our Site, people who contact us or fill out a form, people who sign up for our emails or text messages, donors, and volunteers. It does not cover information practices of third-party websites we link to, or of our program partners, who maintain their own policies.

2. Information we collect

Information you give us directly

We collect the information you choose to provide when you interact with the Site, which may include:

  • Contact and inquiry details: name, email address, phone number, city or ZIP code, and the content of any message you send us.

  • Program interest and application details: information you submit through “See if you qualify,” “Apply Now,” or “Talk to Someone” forms, which may include your age or date of birth, parenting status, and other details relevant to eligibility.

  • Volunteer information: details you provide on a volunteer interest form or booking request.

  • Donation information: your name, contact details, and gift amount. Payment card and bank information is collected and processed by our donation processor, Qgiv, not by HWYM (see Section 6).

  • Communication preferences: your consent to receive emails or text messages, and any later opt-out.

Some of the information we collect can be sensitive, for example information relating to pregnancy or parenting. We treat this information with care and use it only for the purposes described below.

Information collected automatically

When you visit the Site, some information is collected automatically through cookies and similar technologies. This may include your IP address, browser and device type, pages viewed, time spent on the Site, and the website or ad that referred you. We use Google Analytics to understand how visitors find and use the Site so we can improve it. Google Analytics sets cookies and collects this information on our behalf under Google’s own terms and privacy policy. You can opt out of Google Analytics across all websites by installing the Google Analytics Opt-out Browser Add-on. See Section 7 for more on cookies.

3. How we use your information

We use the information we collect to:

  • Respond to your questions and connect you with the right program or staff member.

  • Review program interest and eligibility, and follow up about next steps.

  • Process and acknowledge donations, and send tax receipts.

  • Send you emails or text messages you have asked to receive, including program updates, newsletters, and event information.

  • Coordinate volunteer scheduling and training.

  • Operate, maintain, and improve the Site.

  • Keep records, meet our legal and reporting obligations, and protect the safety of the people we serve.

We do not sell your personal information, and we do not share it for third-party advertising.

4. Text messaging (SMS) terms and consent

If you give us your mobile number and opt in, you consent to receive text messages from HWYM related to the programs, services, or updates you asked about. Your consent to receive marketing or informational texts is not a condition of receiving any program, service, or support from HWYM.

  • Message frequency varies.

  • Message and data rates may apply, depending on your mobile plan.

  • Reply STOP at any time to unsubscribe, or HELP for help.

  • Carriers are not liable for delayed or undelivered messages.

Mobile opt-in information and consent are never shared with or sold to third parties or affiliates for their marketing purposes.

5. Email communications

If you subscribe to our emails or newsletters, we will send you the communications you signed up for. Every marketing email includes an unsubscribe link, and you can opt out at any time by clicking it or by contacting us at [email protected]. We may still send you non-marketing messages that relate to a specific request, application, or donation.

6. Donations and payment processing

Donations made through the Site are processed by our third-party donation platform, Qgiv. When you donate, your payment card or bank information is entered on and handled by Qgiv, and HWYM does not receive or store your full payment card number. Qgiv processes your payment information under its own privacy policy and security standards. We receive donor information such as your name, contact details, and gift amount so that we can acknowledge your gift and issue a receipt.

7. Cookies and tracking technologies

Cookies are small files stored on your device that help a website function and help us understand how it is used. We use cookies for two main purposes: to help the Site work, and to measure and improve how it performs.

For measurement, we use Google Analytics, which places analytics cookies that help us see how many people visit, which pages they use, how long they stay, and how they found us. We use this information in aggregate to improve the Site, not to identify you personally. Google processes the information it collects under its own policies. You can control cookies through your browser settings, and you can opt out of Google Analytics using the Google Analytics Opt-out Browser Add-on. Blocking some cookies may affect how the Site works.

If we add advertising or cross-site tracking cookies in the future, or if we serve visitors in regions that require a cookie-consent banner, we will provide one and update this section.

8. How and when we share information

We share personal information only as described here:

  • Service providers. We use trusted vendors to run our operations, including GoHighLevel (our customer relationship management, email, and text-messaging platform) and Qgiv (donation processing). They may access information only to perform services for us and are expected to protect it.

  • Program partners. With your knowledge, we may share limited information with a partner organization to connect you with a service you have asked about.

  • Legal and safety. We may disclose information if required by law, in response to a valid legal request, or where we believe disclosure is necessary to protect the safety of a person we serve, our staff, or the public.

  • Organizational changes. If HWYM merges with or transfers operations to another organization, information may be transferred as part of that change, subject to this policy.

9. Children’s and minors’ privacy

The Site is intended for a general audience and is not directed to children under 13, and we do not knowingly collect personal information from children under 13 through the Site. If you believe a child under 13 has provided us personal information, please contact us and we will delete it.

HWYM does serve young mothers who are minors (ages 13 to 17). If you are under 18, please use the Site with the involvement of a parent or guardian. Enrollment of a minor in an HWYM program is completed through our intake process, which involves parental or guardian consent and the specific consent forms signed at that time. We limit the personal information we collect from minors through the Site to what is needed to respond and to begin that guardian-involved process.

10. How long we keep information and when we delete it

We keep personal information only as long as we need it for the purposes described in this policy, and to meet our legal, tax, and reporting obligations. As a general guide, we apply the following schedule:

For the length of your participation and for 7 years after your file is closed, or longer where a law or funding requirement applies. Records involving a minor may be kept until the minor reaches adulthood plus this period.

Donation and financial records

7 years, consistent with IRS and audit requirements.

Volunteer records

For the length of service and up to 3 years afterward.

Website analytics information

For the retention period configured in Google Analytics (up to 14 months). See Section 7.

When a retention period ends, we securely delete or de-identify the information. We may keep information longer when the law requires it, or when it is needed to resolve a dispute, handle a claim, or enforce our agreements.

You can ask us to delete personal information we hold about you at any time (see Section 13). We will honor deletion requests except for records we are legally required to keep, such as donation and financial records.

11. How we protect information

We use reasonable administrative, technical, and physical safeguards designed to protect personal information. Access to program and participant records is limited to authorized staff. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

12. If a data breach occurs

Despite our safeguards, no system is completely secure. If we discover a security breach that compromises your personal information, we will act promptly to investigate and contain it, determine what information was affected, and take steps to prevent further unauthorized access.

Where the law requires it, we will notify you. Under Florida law, we will provide this notice without unreasonable delay and no later than 30 days after we determine that a breach affecting your personal information has occurred, unless a longer period is permitted, for example at the written request of law enforcement. If a breach affects a large number of Florida residents, we will also notify the Florida Department of Legal Affairs and, where required, national consumer reporting agencies, as Florida law directs. Our notice to you will describe, to the extent known, what happened, the types of information involved, and steps you can take to protect yourself.

13. Your choices and rights

You can:

  • Opt out of marketing emails using the unsubscribe link, or texts by replying STOP.

  • Ask us to access, correct, or delete personal information we hold about you, subject to records we are required to keep.

  • Ask questions about this policy or how your information is handled.

To access, correct, or delete your information, email our administrator at [email protected]. Please include enough detail for us to locate your information and verify your identity. We will acknowledge your request and respond as promptly as we can, generally within 30 days. For general questions about this policy, you can also reach us at [email protected].

14. Links to other sites

The Site may link to third-party websites, including partners and our donation platform. We are not responsible for the privacy practices of those sites. Review their policies before providing information.

15. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will change the “Last Updated” date above and, where appropriate, provide additional notice. Your continued use of the Site after changes take effect means you accept the updated policy.
